Project Blueprints

Blueprints are reusable project templates that standardize projects processes across your organization.

What is a Blueprint?

A blueprint is a pre-configured template that includes:

  • Task Catalogs — Standardized Subtasks for projects
  • Budget Templates — Pre-defined budget structures
  • Custom Fields — Additional project information fields
  • Dayrates — Standard pricing for consultants/contractors
  • Billing Settings — Invoice and payment configurations

Why Use Blueprints?

Consistency — Every project follows the same process
Efficiency — No need to recreate tasks and budgets each time
Quality Control — Ensure nothing is missed

Viewing Blueprints

  1. Go to ProjectsBlueprints
  2. See all available blueprint templates

Creating a Blueprint

Step 1: Start a New Blueprint

  1. Click ProjectsBlueprints
  2. Click Create New Project Blueprint
  3. Enter blueprint name and description

Step 2: Configure Blueprint Tabs

A blueprint has the following configuration tabs:

Base Information

  • Blueprint Name: The name of the blueprint.
  • Project Icon: Upload an icon to represent the project type.
  • Workspaces: Select which workspaces this blueprint is available in.
  • Internal/Private: Toggle visibility settings.
  • Project Statuses & Phases: Define the lifecycle stages and statuses for projects using this blueprint:
    • Status Options: Define the list of available statuses (e.g., "Planned", "Active", "On Hold", "Completed").
    • Default Status: Select which status is applied to new projects.
    • Project Phases: Define the phases of the project (e.g., "Design", "In Progress", "Handover").
  • Time & Risk: Configure risk tracking:
    • Project at Risk: Enable risk tracking for the project.
    • Risk Types: Define specific risk categories (e.g., "Financial", "Operational").
    • Auto-remove Risk Indicator: Option to automatically clear risk flags at the start of the next year.

Billing

Configure how time and expenses are handled:

  • Desk Time is Billable: Boolean toggle.
  • Desk Time Must Allocate to Budget: Force time entries to be linked to a budget line.
  • Travel Time is Billable: Boolean toggle.
  • Travel Time Must Allocate to Budget: Link travel time to budget.
  • Travel Expenses Must Allocate to Budget: Link expenses to budget.

Link standardized task catalogs to the blueprint to pre-populate task lists.

Facility Details

Define specific facility-related data points if the blueprint is property-related.

Custom Fields

  • Add project-specific data fields (e.g., Investment Tier, Market Segment).
  • Create field sections and drag-and-drop field types from the Custom Field library.

Day Rates

Set standard day rate defaults for roles:

  • Position: Select the role (e.g., Project Manager).
  • Rate: Set the default daily rate.
  • Apply To: Choose if the rate applies to specific scopes or the whole project.

Step 3: Save Blueprint

Click Save Blueprint to make it available for new projects

Using a Blueprint

When creating a project, select a blueprint to automatically apply all its settings.

Editing Blueprints

  1. Go to ProjectsBlueprints
  2. Click on a blueprint name
  3. Make changes in any tab
  4. Click Save

Note: Changes to blueprints do NOT affect existing projects created from that blueprint.
