Scheduling Resources

Learn how to use the Resource Scheduler calendar to manage events across your team.

Calendar View

The Resource Scheduler displays a timeline calendar where each row represents a team member (resource) and events are shown as colored cards along the timeline.

Creating Events

There are three ways to create an event:

  1. Click and Drag: Click on a resource's row and drag across the desired timeframe.
  2. Right-Click: Right-click on an empty slot in the calendar and select Create New Event.
  3. Context Menu: Use the context menu on any empty calendar area.

This opens the Create Event Modal with the following fields:

Basic Information

  • Title (Required): Name of the event.
  • Dates & Times: Start/End dates and optional times.
  • Event Type (Required): e.g., Meeting, Holiday, Travel (configurable).
  • Status (Required): e.g., Confirmed, Tentative.
  • Modality: In-Person, Remote, or Hybrid.
  • Description: Additional details.

Categorization

  • Project: Link the event to a specific project.
  • Category / Subcategory: Classify the nature of the work.

Participants

  • Facilitators: Assign internal users or external contacts who are leading the event.
  • Attendees: Add internal users, external contacts, or free-text names (for people not in the system).

Logistics

  • Location: Physical address (if In-Person/Hybrid).
  • Meeting URL: Video conference link (if Remote/Hybrid).

Notifications

  • Notify on Create: Send emails to all participants immediately.
  • Notify on Status Change: Send updates if the status changes (e.g., Confirmed → Cancelled).

Calendar Views

The toolbar allows switching between standard views:

  • Day: Hourly breakdown.
  • Week: Daily breakdown for 7 days.
  • Month: Daily breakdown for the month.
  • Quarter: Weekly breakdown for 3 months.
  • Custom Range: Use the date picker to select any specific range (e.g., 2 weeks).

Exporting

You can export the current view for reporting:

  1. PDF: Generates a landscape PDF of the visible timeline.
  2. Excel: Downloads a spreadsheet containing all visible events and resource data.

Settings

Access Scheduler Settings to configure:

  • Event Types & Statuses: Define the dropdown options.
  • Working Hours: Set standard operating hours.
  • Holidays: Define non-working days.
