Entity Absence Settings
Override workspace-wide leave policies by establishing entity-specific rules.
Enabling Local Overrides
By default, an entity follows the general Absence Management Settings for its assigned users.
To enact localized rules:
- Open the entity's detail drawer (via the dashboard's View icon).
- Locate the Absence Management Settings section.
- Toggle the master switch to On.
These settings now supersede the global workspace policies for all internal users attached to this entity. The form is categorized into five critical subsections.
Remember to click the Save Absence Settings button to secure your changes.
1. Contractual Settings
Configure the fundamental timeline and allowance logic for the entity.
- Contractual Year Begins: Set the specific day and month the annual leave cycle resets.
- Yearly Holiday Allowance: Set the default number of holiday days granted annually.
- Holiday Allowance Proration Method: Dictates how new hires receive leave:
- Full Month
- Daily Prorate
- No Proration
- Holiday Allowance Rounding Method: Instructs how fractional days are handled globally for the entity:
- Round Up
- Round Down
- Round to Nearest
2. Holiday Request Settings
Configure basic annual leave rules:
- Half Day Approval: Toggle to permit users to request AM or PM half-day leave increments.
- Require Approval: Toggle to force manager vetting for standard holiday requests.
- If enabled, you must specify the First Approval Instance (by role or specific user).
- You can optionally configure a Second Approval Instance for multi-layered oversight.
3. Carryover Settings
Control how unused contractual leave is rolled over at year-end:
- Holidays Can Be Carried Over: Check to allow holidays to move into the subsequent calendar year.
- Carryover Cap: Enforce a hard maximum on how many days a user can move over.
- Automatic Carryover: If ON, the system automatically ports unused days (up to the cap) on the "Contractual Year Begins" date. If OFF, employees must manually apply via the "Holiday Carryover Request" type.
- Carryover Requests Require Approval: (Only visible if Automatic Carryover is OFF). Toggle to necessitate manager appraisal for manual carryover procedures.
- Default Carryover Request Approver: Designate the authority responsible for reviewing carryover claims.
- Carryover Holidays Usage Period: Dictate the expiration horizon for ported days.
4. Days-in-Lieu Request Settings
Establish the mechanics for time off accredited through extra hours/overtime:
- Days-in-Lieu Can Be Requested: Toggle to let employees formally claim days-in-lieu.
- Days-in-Lieu Requests Require Approval: Instruct the system whether these claims demand distinct managerial authorization.
- Default Days-in-Lieu Request Approver: Indicate who audits these compensatory applications.
- Days-in-Lieu Usage Period: Establish a deadline before accumulated lieu days lapse.
5. Sick Notes Settings
Organize health-related notifications:
- Notification Recipients: Assign the distinct roles or individual users who must be alerted immediately when an entity member registers a sick note.
