Billing Custom Fields
Billing Custom Fields let a workspace capture invoice information that is not part of the standard Billing form. Use them for stable business information that users need to enter, report, or place in generated documents.
When To Use A Billing Custom Field
Create a custom field when the information belongs to the invoice and should be collected in the same way every time.
Good examples include a customer purchase-order reference, regional finance code, contract reference, or external accounting identifier. Do not create a custom field for temporary instructions that belong in Invoice Notes or Internal Notes.
Before adding a field, check whether Billing already provides a standard field. Reusing Recipient, Due Date, Performance Period, Related Project, or Currency keeps reports and invoice processes consistent.
Access Billing Custom Fields
Open Billing -> Custom Fields. The tab appears only when your role has the Can Manage Custom Fields Billing capability.
Users also need the relevant Billing read or write access to see or edit custom-field values on invoices. If the tab is missing, ask a COMPASS Administrator to review your role under Users & Roles -> Module Permissions -> Billing.
Plan A Custom Field Carefully
Choose a clear name that matches the language users already know. Add guidance when users might enter the value in different formats.
Example: Name the field
Customer PO Numberand explain whether spaces or prefixes are expected.
Consider how the field is used in reports and documents before changing or removing it. Historical invoices may still contain values that finance teams need for audit or reconciliation.
Changing a custom-field definition can affect invoice forms, saved reports, document templates, and historical searches. Confirm these uses before editing or deleting a field.
