Trip Expenses
Track estimated and actual travel costs for trips.
Recording Actual Costs
Once a trip status changes to Ready For Trip, you can record the actual costs incurred.
Adding Actual Costs
- Open the trip detail drawer.
- In the Expense section, enter:
- Cost of Transportation — Actual total spend on travel (flights, trains, etc.)
- Cost of Stay — Actual total spend on accommodation
- Save changes.
Note: Expenses are recorded as aggregate totals for Transportation and Stay, displayed alongside the estimated amounts for comparison.
Cost Comparison
The Expense section shows estimated and actual costs side by side for:
- Cost of Transportation — Estimated vs Actual
- Cost of Stay — Estimated vs Actual
This helps track budget variance for the trip.
Trip Statuses
| Status | Description |
|---|---|
| Draft | Trip created but not submitted |
| Waiting For Approval | Trip submitted and awaiting approval |
| Ready For Trip | Trip approved and ready to proceed |
| Declined | Trip request declined |
| Archived | Trip archived |
| Closed | Trip completed and closed |
