Response Rules

Automate actions based on survey response data with response rules.

Overview

Response rules let you define conditions and actions that automatically update response fields when certain criteria are met. Rules follow this format: "If [conditions] match, then set [field] to [value]."

Understanding Response Rules

A response rule consists of:

  1. Match Mode — Whether all or any conditions must be met
  2. Conditions — Criteria evaluated against each response
  3. Actions — Field updates that happen when conditions match
  4. Note — Optional note describing the rule's purpose

Creating a Response Rule

Step 1: Open Response Rules

  1. Open your survey
  2. Go to the Response Rules tab
  3. Click Create New Response Rule

Step 2: Configure Conditions

  1. Select match mode:
    • All — Every condition must be true
    • Any — At least one condition must be true
  2. Add conditions using the + button
  3. For each condition, select the field and operator

Step 3: Define Actions

Actions follow the format: "Set [field] to [value]". Response rules are primarily used for managing internal response workflows.

  1. Click the + button to add an action.
  2. Select the field to update:
    • Assignee: Automatically assign the response to specific team members.
    • Priority: Set the urgency level (Low, Medium, High, Critical) based on the response.
  3. Select or enter the value to be set.

Step 4: Add Note (Optional)

Add a descriptive note explaining the rule's purpose.

Step 5: Save

Click Save to activate the rule.

Managing Response Rules

Editing Rules

  1. Go to Response Rules
  2. Click on an existing rule
  3. Modify conditions and/or actions
  4. Save changes

Deleting Rules

  1. Go to Response Rules
  2. Select the rule to remove
  3. Click Delete
  4. Confirm the action

Important Notes

  • Action fields are loaded dynamically based on the survey's configuration.
  • Response rules can only use fields defined at the survey level (not template level).
  • The system excludes survey form fields (fields starting with "surveyFields.") from action options.
