Requesting Absence

Learn how to submit requests for time off, sick leave, and other absences using the guided wizard.

Overview

Compass uses a guided two-step modal wizard to help you submit absence requests. When you click Next after filling in your details, the system performs server-side validation and displays results on the Review step.

Absence Request Types

Holiday Carryover and Days-in-lieu options are only visible in the dropdown if enabled in Absence Settings.

How to Submit a Request

  1. Navigate to Absence Management.
  2. Click Create New Absence Request in the header (this is a dropdown button).
  3. Select the appropriate request type (e.g., Holiday Request, Sick Leave Note).
  4. A modal dialog opens with the request wizard.

Step 1: Request Details

Fill in the specific details for your request. Fields vary by request type.

Holiday Request fields:

  • Employee: Select the employee (required, searchable dropdown).
  • Start Date: Select the first day of absence.
  • Start Day Usage: Choose Full Day, AM (Morning), or PM (Afternoon). When start and end dates are the same, a single "Day Usage" radio group appears instead.
  • End Date: Select the last day of absence.
  • End Day Usage: Choose Full Day, AM, or PM (only visible when start and end dates differ).
  • Description: Add notes for your manager.

Sick Leave Note fields:

  • Related Employee: Select the employee (required, searchable dropdown).
  • Sick Leave Type: Select from predefined options (required dropdown).
  • Start Date / End Date: Select the absence dates.
  • Description: Describe the absence (required).
  • Attachment File: Upload medical documents (supports multiple files).

Step 2: Review Request

Click Next to proceed. The system automatically validates your request server-side and displays results on this step:

  • Balance Summary: Days used by this request and remaining days for this year and next year.
  • Conflict Analysis: Overlapping project commitments, existing absence requests, or blocked periods.
  • Warnings: Non-blocking issues (e.g., requesting more days than remaining) that you can acknowledge and proceed.
  • Errors: Blocking issues (e.g., conflicting own requests) that may prevent submission.

Review the summary and click Submit to send the request.

Tracking Your Request

Once submitted, you can track its progress in the Absence Requests tab.

  • Pending: Notifications are sent to your manager for approval.
  • Approved: Your balance is updated automatically.
  • Rejected: You will receive a notification with the reason for rejection.

Modifying Requests

  • Pending Requests might be cancellable depending on organization settings.
  • Approved Requests usually require manager intervention to cancel or modify.
